PROPOSED BCSFA/WCSFA EXECUTIVE

Okay, here's the way it works.

CURRENTLY É

The BCSFA executive consists of Chair, Vice‑Chair, Treasurer, Secretary & Information Officer,

The WCSFA Executive consists of President, VicePresident, Treasurer, Secretary, Member‑At Large & BCSFA

Representative.

BCSFA runs the club.

WCSFA is responsible for VCON.

Only WCSFA is a registered society.

But BCSFA, as a standing sub‑committee of WCSFA. falls under the protection of WCSFA's registration.

Three members serve on both executives.

Both executives have agreed this is unwieldy and that the two executives should be combined into one.

For most purposes the executive will be known as the BCSFA executive (because that's club tradition), but for legal purposes and in dealings with the B.C. government the executive will he known by its actual (ie: legal) name, WCSFA.

So generally speaking, it will be the BCSFA (WCSFA) executive of the BCSFA (WCSFA) club.

Since the WCSFA fiscal year legally ends in September, we are due for an election. Nominations will be at the September meeting, and if any position is contested, votes will be counted at the October meeting. (Actually, we're a month late, nominations in August, elections in September, but .... we're late.) So, taking advantage of the election, the entire slate of the proposed combined executive will be offered for nomination, and once filled and declared elected as of the close of the October meeting, the previous BCSFA executive will step down, though some of them, possibly, may be on the new combined Executive. (Hope nobody minds if offer myself for the role of newsletter editor.)

At any rate, here are the combined executive positions and their duties as presently conceived by the BCSFA & WCSPA executives:

PRESIDENT:

Sets meeting dates and venues, contacts executives re: meetings

Prepares & distributes Agenda

Chairs meeting

Acts as official spokesperson for BCSFA/WCSFA.

VICE-PRESIDENT/CLUB LIAISON

Fill in for the President as necessary

Keeps the club inventory

Compiles list of other SF clubs and related-interest clubs (e.g. gaming, media, SCA, wrtiersÕ groups, etc.)

Compiles list of upcoming conventions: type up a convention calendar for BCSFAzine

Contact other clubs regularily for updates on their acrtivites and prepare repots of anything of interest for BCSFAzine.

NEWSLETTER EDITOR

Compiles, edits and prints BCSFAzine

Organizes BCSFAzine mailout.

MEMBER AT LARGE (elected or appointed position) ‑ Duties to be assigned by executive.

TREASURER

Keep membership list. ‑ Prepare nailing labels for BCSFAzine.

Prepare, present to executive, and file annual report.

Make all deposits/disbursements, keep bank accounts current.

Oversee and assess budgets of event continuities.

Compile records of events (budgets and reports) and file for future use.

SECRETARY: ‑ Record minutes of meetings. ‑ Type up minutes for BCSFAzine. ‑ Keep a log of all motions passed and changes proposed.

Ensure that notices of meetings, and calls for bids are published promptly.

Keep club records.

SOCIAL CONVENOR/PUBLICITY

Keep track of dates of events approved by WCSFA executive.

Prepare calendar of WCSFA events for BCSFAzine. ‑ Organize pasties and social events.

Send press releases to news outlets,

of anything of interest for BCSFAzine.
